Setting Up Users

You can invite Users to collaborate on your project through Exchange. You can assign different levels of access for each User to create, edit, and delete Assets, Notes, and other Users.

  1. Email Invitation
  2. Adding a User
    1. User Status
  3. User Permissions
    1. Own/All Permissions
    2. Permission Presets
  4. Deleting a User
  5. Sending Users a Message
  6. Sending Users an Invitation

Email Invitation

Goviso requires a valid email address for all user accounts. When you add a user to your project, you provide only that user's email address.

Exchange sends an email invitation to the user containing a secure link that brings them to a Goviso registration page, where they register their own name and password. If they already have a Goviso account, they simply log in to the project.

Adding a User

Select the project in the Projects panel.
Click the Users tab.
Click the Add New User button.
Click the Add New User button.
Enter one or more email addresses, separated by a comma.

Check "auto-send an email to new users" if you want an email invitation to be immediately sent. Otherwise you can send the invitation at a later time. See Sending Users an Invitation.

User Status

When a new user is added to the project, their information will appear as below. Their status will appear as "pending" until they have accepted the invitation to the project. Their first and last name will remain unknown until they accept the invitation. You can use this status to determine which of your invited users have accepted your invitation.

User Permissions

You can control permissions for each user to create, edit, and delete assets, notes, and other users. By default, a new user is given Standard permissions. You can change permissions as follows:

Select the user in the list by clicking on the row.
Click the Edit button to open the User Preferences dialog.

Check the boxes for the permissions to allow for this user.

Click the Done button to save changes and close the dialog.

Own/All

The Edit and Delete checkboxes each have secondary permissions of "own" or "all". If "own" is selected, they may only edit/delete something they've created. For example:

If Assets-Delete is checked, and "own" is selected, the user may only delete Assets that they have uploaded.

If Users-Edit is checked, and "all" is selected, the user may edit any user in the project, regardless of who created that user.

Presets

A preset is simply a combination of permissions for convenience. You can select a preset from the drop down list instead of manually setting permissions through the checkboxes.

Guest
A Guest User can only view assets in the screening room. They cannot create, edit, or delete anything.
Standard
A Standard User can create and view Assets, and can create and view Notes. They can only edit and delete their own Notes.
Advanced
An Advanced User can create, view, edit, and delete Assets and Notes, but can only create and view Users.
Master
A Master User can create, view, edit, and delete Assets, Users, and Notes.

Inviting Users

You can send or re-send a project invitation to users. Exchange sends an email invitation to the user containing a secure link that brings them to a Goviso registration page, where they register their own name and password. If they already have a Goviso account, they simply log in to the project.

Select the users in the list by clicking on the rows. Use the shift and control keys to select multiple rows.
Click the Invite button.
